Inactivating a Student

These instructions assume the student has transferred out of AAPS and is not going directly to another building. See Transferring a Student to Another AAPS Building if that is what you need to do.

When a student exits the district, we need to account for the record in the current year and specify where it will go for next year.

First, select the student to inactivate. In the navigation menu, under Enrollment, click Functions.

On the next screen, click Transfer Out of School in the center of the page.
Fill out Transfer Comment and Date of Transfer. Select an Exit Code. Note that the Transfer Comment can be used to store specific info such as the new school or a note that the family plans to return.

NOTE: if the student is transferring to another AAPS building, select '10 (Ann Arbor Public Schools)' as their Exit code and transfer them directly to their next building. See

   Click Submit.

The following screen will display a message confirming a pending transfer. By pending, the PowerSchool means that it has recorded a change in status for the student and the records will be updated shortly to reflect that change.

Note! Your student has just entered the Twilight Zone
  • At this point you the student is inactivated but still belongs to your building.
  • In order for Child Accounting to know the student exited from your building, we will be leaving the inactive record in your building through the end of the year.
  • At this point, if you need to find the student put a "/" before their last name when doing a search.
Next we need to indicate to PowerSchool where the record should be moved for next year. We do this on the Scheduling Setup screen. transfer_4_schedmenu.png

There are three especially important fields on this page:

  • Next Year Grade
  • Schedule This Student
  • Next School Indicator

If it is not already filled in, enter the student's Next Year Grade level.

If the student is NOT returning, unclick Schedule this Student. If the student will be returning to a different AAPS building, go ahead and leave this box checked so that the student will appear in PowerScheduler.

Under the Next School Indicator pulldown, select 'Archive' if the student is NOT returning to an AAPS building next year. If they WILL BE returning, select the appropriate building from the list so the student will be routed to the correct location.

Click Submit.

You have accounted for the record's location for next school year. You can always change the destination by looking up the student (with /) and editing this page as needed.
