Registering a New Student

   
Click Enroll New Student from Other Options on the PowerSchool 'Start Page' or click Special Functions>Enroll New Student from under the navigation menu. register_2_specialfunctions.png

The Enroll New Student page is loosely divided into two sections.

  • The first section is where you enter basic student information:
    • Enter just the student's first and last names (a less specific search is less likely to result in a duplicate record).
    • Enter the enrollment date that represents the first day the student will attend classes in the building (e.g. if enrolled in advance for a fall start, use the first day of school)
    • You must select a Full Time Equivalency from the list (note: all Kinders should be designated as Kinders regardless of full or half day!)
    • Enter the grade level that would apply as of the enrollment date
    • Please select the student's resident district at this time
  • The second section is titled Information for Family Match. Please leave this section at its defaults.
Click Submit in the lower right-hand corner.

The Check for Duplicate Students page compares the data you entered against records already in PowerSchool. Note that although the screen implies that you can click on a matching student and they will be magically enrolled, this is a fat fib so ignore the message.

  • If you see a match for your student AND if the school is 'ARCH' (meaning the student is in the Archive), STOP! You will need to switch to the Archive building and transfer that student to your building to enroll them. See Reactivating a Student from the Archive for help.
  • If the student is active in a building other than the Archive, STOP! -- contact that building or class secretary to have them drop and transfer the student to your building.
  • DO NOT USE THE BACK BUTTON!! You can inadvertantly enroll a student twice!! 
  • If you do not see a match, click the Enroll button at the lower left of the results window. When you click this button, a record is created for the new student and a student number is assigned.

There WAS a Family Search Results page designed to allow you to copy data from records already in PowerSchool, saving some data entry work. We have turned this feature off for the time being until we have a good procedure for allowing one building to affect records in other buildings.

 

   

To add the rest of the student's information, click on Complete Registration under Information in the menu in the navigation menu.

  • In most ways, this layout mirrors the Notice of Entry form. See the direct comparison.
  • Tab through the fields to add information.
  • Please enter addresses in the US Postal Service format. Note the link to the USPS website--use it to check the spelling and format for an address. A link to the street table is also available so that you can verify whether an address is in your attendance area.
  • In the Parents/Guardian Information section, the sections marked "Father" and "Mother" should be filled in if the relationship applies; otherwise, please leave blank and move down to the slots for additional parent/guardians and use the pull-down menus to specify the relationship to the student. We are able to accommodate many more combinations of family members in this way.
  • The section for Second Mailing Address is for parent/guardians who do not live at the student's Residential Address but would like to receive school mailings.

Note!: If the entry date for the student is in the future, that student will not show up as active until that date! Use a forward slash / before the last name to locate that record until it becomes active.

Note!: If the enrollment is entered with an entry date after the last day of the current year, the students are considered Pre-enrolled in NEXT YEAR. This means they are attached to your school but are not considered active because their entry date is not until the first day of school in the next year.

Switch to next year at the top of the screen. In order to search for non-active students in PowerSchool, you need to add a forward slash (/) before search terms entered in the search box

  • /walstra
  • /Enroll_Status=-1

Once the new year becomes 'active', these students will appear as active and any new enrollees will come in as active as opposed to pre-registered.
